Site Coordinator Meeting
WVSOM Lewisburg
October 14, 2005

Anna called the meeting to order at 9:22 am.
As a check-in each person attending shared what they like most about this time of year.
The September minutes were tabled until November.
Penny reviewed the Next Steps from September. They were:
2. S/C first report on the 3 X 3 visits are due to April by Friday August 19 and every Friday thereafter. ALL VISITS MUST BE COMPLETED BY THE END OF NOVEMBER. PLEASE REPORT VISITS AS THEY OCCUR TO BOTH HILDA AND APRIL. (Ongoing)

and Sandra will continue to work on a date for a joint AHEC and S/C Meeting and
will report to us as soon as possible. (Ongoing)
4. Lora
will contact Jodie about how to report IDE sessions on TRACKER. (Ongoing)
5. Hilda
will review SC responses regarding reasons they feel number of people impacted
by community service/service learning activities are down, and then send SC’s
her response to PERD regarding the lower numbers. (Done)
6. Site Coordinators need to let April know the
number of positions lost (OSCD, Administrative, support staff, etc.) that could
have impacted the lower community service numbers, by Friday, Sept. 16. (Done)
7. Send an email to Derrick regarding any
training ideas we would be interested in, by September 30. (Need to complete)
8. Bring
gift baskets to Faculty Development Conference. (Done)
9. Central
AHEC is collecting items/donations for Katrina victims. Items needed are: hair dryers, alarm clocks,
umbrellas, watches, ethnic beauty and hair supplies, disposable cameras and
cash donations which will be used for transportation. (Checks should be made to the Preston County Health
Department). Bring your donations to
the FDC. (Done)

will send out a list of items to be collected, along with the address of the
Preston County Health Department.

you are interested in ordering bottled water from Allegheny Products send your
name to Elizabeth Richmond. (Done)

Guest Speakers:
Malcolm Modrzakowski, PhD at WVSOM discussed the Problem-Based Learning (PBL) track at WVSOM. This cased-based learning track included 24-40 students annually with an 8:2 student to faculty ratio. Students are responsible for their individual learning and demonstrate improved language, skills and retention of information.
Stephanie Shuler, BS at WVSOM reviewed the ten consortia of WV that make up WVSOM’s statewide campus. Those ten areas include: Beckley, Logan, Eastern, Charleston, Clarksburg, Parkersburg, Lewisburg, Princeton, Wheeling and Huntington. Next year all students will utilize the statewide campus during their 3rd year except for the following times: vacation, elective and Family Medicine I and II. Selections for next year will be made between Thanksgiving and Christmas. A group is involved in a pilot group that spends 4 months in statewide campus sites and out-of- state for the remaining rotations.
Other WVSOM concerns discussed include:
à “RHEP vs. In”
à Participating in RHEP after requirements have been completed
à Choosing which rotations are RHEP in advance
à RHEP should no longer be considered an “add-on” by schools
Office of Rural Health:
Hilda updated the group on the recent report submitted to PERD (Performance Evaluation Research Division). This report included the rising cost of housing and transportation for the RHEP Program. She also reviewed her request to HEPC (Higher Education Policy Commission) for the $500,000 improvement package for RHEP.
The 3x3 campaign is still underway. RHEP “outcomes” need to be highlighted and all new members should be contacted by the end of November. All questions from Legislators should be sent to Hilda.
Title VII funding is still pending. Two WV AHEC/RHEP trained physicians briefed the Senate concerning this funding- Chris Howard, D.O. and Krista Hopkins, MD.
Other ORH items include:
à The RHEP survey of alumni has now a 62% rate of return.
à Bruce Flack is the interim Chancellor while a national search is taking place to replace Chancellor Mullins.
à The rural fair at WVU has been tentatively scheduled for Jan.24th 9-5 pm. This year the mock IDS may be replaced by an IDS/IDE overview.
à The first regular joint meeting of AHEC/RHEP will be held in Feb. 2006.
à Legislative Day will be held Feb. 20th with an AHEC/RHEP Geriatric training to follow on the 21st.
à Hilda plans to take an extended leave from Thanksgiving to Mid-January.
à Rural Health Conference in late October- includes annual membership dues
Strategic Planning:
The following suggestions were shared to be items of discussion for the Nov. 14th AHEC/RHEP Strategic Planning Session:
à Linkage between campus and community concerning rural curriculum
à HSTA/RHEP reporting issues
à Level system applied to the disciplines
à Impact of level system on the interdisciplinary environment
à Comparison of all level sites
à Low SERFE numbers
à Loss of AHEC Bioterrorism funding
à Need for RHEP grant writer
à TRACKER discrepancies
à Website improvements and IT concerns
AHEC Reports:
Western-plans to have an AHEC CARDIAC team
Northern- has retained several new preceptors
Eastern- had a team in September and plans to have another in November
Central- plans to emphasize the HSTA to AHEC pipeline and host teams led by not only medical residents but other graduate trainees
Southeastern- has a team for the first time in Summers County and continues to meet jointly with SEEC and the Gorge Connection to review objectives and 3x3 campaign.
Next Steps
