Present: Lora Adkins, Carla Campbell, Elizabeth Richmond, Malinda Turner,  Shannon Bell, Penny Asbury, Georgianna Tillis, Parr Thacker, Sonnie Strader, and Dalena Riggs; ORH staff April Vestal, Hilda Heady and Derrick Day.  AHEC staff members Lew Holloway, Patty Crawford, Susan Anderson-Borror and Sandra Pope.

 

Absent: Judy Koehler, Kathryn Greenlief, Chuck Conner, and Anna Reno.

 

Elizabeth called the meeting to order at 9:07 a.m.

 

Lora Adkins shared the group agreements and the WVRHEP Coordinator values documents with the group as a check-in.

 

The March minutes were approved as submitted.

 

Penny reviewed Next Steps from March.  They were:

 

1)      S/C to send a letter of explanation to all preceptors of Level III sites.  (On-going - see new Next Steps)

           

2)      S/C to share best practices of IDE rotations by May 1st.  Elizabeth will then compile the information.  (On-going)

 

3)      Please send Derrick any suggestions you have to help update all websites by April 6th  (On-going)

 

4)      Send Georgiana and “job description” ideas you may have for the new position of “Cardiac Liaison” by April 10th. (Completed) 

 

 

Guest Speaker – Carla See, School of Pharmacy (WVU)

            Carla discussed the experiential portion of the rotation at the School of Pharmacy.  The WVU SOP Early Experience Program will be implemented beginning with the Pharm.D. class entering in the fall of 2005. The change is in response to accreditation standards. The first year will focus on community pharmacy, the second year on institutional (hospital) pharmacy, and the third year on clinical activities. At the beginning of the first year, students will be assigned to a community pharmacy near their hometown. Students will complete a longitudinal experience of about 20 hrs throughout the first year. They will return to the site for a two-week introductory community rotation following the spring semester. The first year will also include a service-learning project in the fall and spring semesters. During the second year, students will be assigned a hospital site near their hometown. They will complete a two-week rotation at this site following the spring semester of their second year. The third year of clinical activities will be done on the Morgantown campus. Students assigned to RHEP or SOP rural sites during the two-week community and institutional rotations will be entered into TRACKER. Because these are only 10-day experiences and they are to complete a very structured list of activities, students assigned to an RHEP site will not participate in IDS/IDE or community service. This decision was made by the experiential education committee (which includes an RHEP preceptor) and the SOP curriculum committee. The rationale for this decision is that the students will not be able to complete their required activities in less than 10 full days at the site. The SOP sees a number of benefits to this curriculum change. First and foremost, the students will be better prepared when they enter 4th yr rotations and secondly, because many of our students are from rural areas, it will provide them with an excellent introduction to rural healthcare in WV.

 

Committee Reports – no reports

 

Office of Rural Health:  April reported that Amy Reasinger Allen wants to collaborate on a Cancer Education grant.  There will be more detail sent via email in a few days.  The grant deadline is October so April just wanted everyone to have a heads up on this.

 

Hilda reported that she had received notice that WVAHEC program will be recognized at the upcoming meeting of the HRSA All Grantees meeting in June.  She will be attending to accept the award.

 

AHEC Report – Sandra Pope reported that she had met w/ Mark Fisher at the VMC concerning the Bio-terrorism Grant activities.  There has been some discussion of Year 3 activities.  She will keep us updated.

 

Patty reported on activities at SEAHEC.  They are planning a June 17th Evidence Based Medicine Seminar (using a palm devise).  Contact Patty if you would like to attend.

 

Lew reported development activities in NWVAHEC.  He is working on a rural scholars program and they are working on surveying the educational needs as it relates to CE activities.

 

Shannon reported on the progress of the Central AHEC.  She and Chuck are meeting with WVU Charleston campus residency program folks in June.  They hope to host their first IDE in late fall in Clay County.

 

 

Helpful Hints and Other concerns:

1.      Georgianna reminded the SC’s that the CARDIAC trainings would be held on June 8 and June 10.  The materials for registration were sent a few weeks ago.  She also asked when they wanted to meet for the CARDIAC brainstorming/work session that had been discussed.  It was decided to meet on June 13th after the SC meeting.   The meeting should last about 2 hours.  SC’s who have specific questions or issues that have not been addressed should send those to Georgianna as soon as possible.

2.      Kathryn has checked the dates and the Braxton LRC is not available for some of our meetings.  Those dates were changed to reflect dates when the LRC is available.

·            July 19 will now be July 12

·            August 16 will now be August 9

·            October 18 will now be October 11

 

 

NEXT STEPS-

 

·Site Coordinators to send a letter of explanation to all preceptors and sites regarding the   new policy on site levels.  Notify April & Jody by May 30th.

 

·Everyone to contact Patti Crawford if they plan to attend the June 17th CME Training.  Patti will be sending out more information prior to the meeting.

 

·Georgianna will send out more information on the Ruby Payne Training scheduled for June 8th as soon as possible

 

·Derrick will be testing and correcting all list-serves as soon as possible.

 

·Issues you would like discussed at the June 13th Cardiac Meeting are to be brought to Georgianna’s attention as soon as possible.
