RHEP Site
Coordinator Meeting
Approved July 20,
2004
Present: Chuck Conner, Elizabeth Richmond, Robert Blake, Penny Asbury,
Georgianna Tillis, Jane Sullivan, Parr Thacker, Lora Adkins, Carla Campbell,
Sonnie Strader, Judy Koehler, Kathryn Greenlief, Malinda Turner, Steve Thomas,
Shannon Bell and Anna Reno and Dalena Riggs; and from the ORH, April Vestal,
Sandra Pope and Derrick Day.
Sonnie called the meeting to order around 9:05
a.m.
The approval of the January, March and April minutes
was approved on a motion from Chuck and seconded by Carla.
Next Steps were reviewed from April. They were:
1) Site Coordinators to send Hilda response to resolution
ASAP or before the May 1 deadline. (done)
2) Site Coordinators to receive an email with an Excel
File of Community Service Activities that have primary counties missing. If you are one of those counties, please
complete and send back to Jodie ASAP. (done)
3) Hilda will have Margaret email all Site Coordinators
their final 04/05 Budget. (done)
4) If any Site Coordinators have questions or concerns
about the new IDS policy, please let April know. (done)
5) Site Coordinators were assigned to fill in those that
were not present at the retreat ASAP. (done)
6) Email ideas on incentives for rotations to Judy or
Penny. (done)
7) Hilda suggested that all Site Coordinators send Thank
You notes to your representatives who are working on the Task Force Team. (done)
8) April will send out an email asking Site Coordinators
for available dates to hold the Student/Site Coordinator Meeting. (on-going)
Committee
Reports:
Evaluation Committee report was given by Judy. Barry Linger reported on the new curriculum model
being used at WVU's Eastern Division for 3rd year students. This model was
based on the
Yankton Model from South
Dakota. However, there are differences
that make WVU ED the only school offering the Eastern Division Longitudinal
Program. Students do one day per week
in each primary care setting rather that 4-6 weeks in one. Didactics will be done on Fridays only.
Evaluations will be done at
mid-term and at the term's end. The
terms will be 2-24 weeks modules. This
has also been offered to WVSOM and Marshall.
WVSOM will participate at the beginning in July of this year. Marshall is not able to at this point. Also,
WVU ED guarantees
entry to medical school to
those students who complete MEDSTEP (Medical Students in the Eastern Panhandle)
which partners with Shepherd University.
The Joint Outreach-Curriculum Committee report was given
by Shannon. She reported that Dr. Henry
Taylor had compiled a one-page synopsis for the visions document that is very
good.
School
Committee meeting discussed the needle stick policy along
with some discussion on the site selection process. They also heard a motion (which passed) to recommend that
Martinsburg be added to the list of restricted cities. They also discussed the implications of
every preceptor needing a faculty appointment for each school who will be
sending students to them. The committee
has asked SC to indicate in Tracker where each preceptor has an
appointment. Dr. Ferrari also asked
that the SC feel free to check with campus if a student is asking for several
days off during a rotation to verify the need of that time off.
Finance Committee
report was presented by Malinda and Parr.
They reported that the Task Force recommendations were acted upon. The wording has been changed in the Capital
expenditures portion of Policy 2001-04.
Only expenditures $2,500 or greater will need approval now. The purchase of vehicles and real
property/building will no longer be allowed.
Finally the committee has asked that each consortium submit a time line
for implementation on the merger and task force recommendations and report at
each meeting over the next year.
Recruitment and Retention Committee: Judy reported that the Brody, Baker and Jackson
“tiered plan” was discussed and had the support of the committee. The AHEC Executive Directors reported on
activities in their regions. Adkins and
Wheeler gave a recruiting report from the Division of Recruiting. Finally she reported that the Job Fair at
WVU has been set for November.
Sandra Pope reported that
the AHEC Central office is planning a retreat for AHEC/RHEP training. It will be held on August 18-20 at the WVU
Eastern Division campus. There will be
a site visit to the Harpers Ferry Clinic and each AHEC director will be giving
an overview of activities in that region.
Sandra also reported that the cost share information needs to be
reported by SCs to the AHEC directors ASAP.
Office
of Rural Health
April reported
that Hilda was absent to attend the funeral of a close friend. But April reported that Hilda wanted to
thank everyone for their support in the Task Force process going on right
now. April encouraged people to offer
an alternate to any part of the plan that they feel might make a stronger
solution to that issue. She commented
that SC need to lead the consortium boards during this time. She urged SC to be courageous and see this
as an opportunity for strengthening the overall program.
Other concerns:
Judy reminded us
that June is time to select representation on the various committees once
again. It was decided not to hold a
June meeting and hold elections in July.
The next meeting date is July 20th.
