RHEP Site Coordinators Meeting (approved July 18, 2000) June 13, 2000 Present: Chuck Conner, Anna Reno, Georgianna Tillis, Kelly Blake, Elizabeth Richmond, Carla Campbell, Penny Rose Asbury, Kathryn Greenlief, Hilda Heady, Joan Hypes, Jennifer Allen, Malinda Turner, Jacquelynn Copenhaver, and Steve Thomas. Absent: Parr Thacker, April Vestal, Robert Blake and vacant positions at Cabin Creek and Eastern Panhandle. The meeting was called to order by Carla Campbell. Check-In A Crackerjack energizer on looking for each person’s unique “prize” or trait was presented. Approval of Minutes Minutes were approved with corrections. Review of Next Steps from May Meeting 1. Send names of people who do arts and crafts to Rosie for FD Day. done 2. Send April comments on grant writing workshop agenda by May 30th. done 3. April will send the SC group an informational sheet on the NY Academy of Medicine Study on partnerships. done 4. SCs need to complete the SunWise school program target classrooms from by email to Beth Santimyire by July 1st . ongoing 5. SCs are to make sure their IDS data has been entered on Tracker by June 30th. ongoing 6. Kelly will contact Mike McCarthy about on-line submission of student evaluation of rural field experience survey. ongoing 7. Chuck will call Margaret and have her send a folder of budgeting information to lead agency administrators and SCs by May 30th. done 8. Georgianna will be the next chair for the quarterly WVSOM board and will send Elizabeth the information by July 18th meeting. ongoing 9. Hilda and April will clarify the definitions of RHEP and other rural, and schedule a joint policy review session with the school committee on July 18th from 9-12 in Flatwoods. done 10. Send Hilda any policy conflicts by May 30th. done Office of Rural Health Report · Colin Powell is the scheduled keynote speaker at the WV Service Learning Conference to be held in Charleston August 6-9. Hilda would like RHEP to exhibit and attend. Sandy has brochures if anyone needs one. · Sarah Beversorf, Wisconsin AHEC and Sylvia Blakesdale, California University of Pennsylvania would like to schedule RHEP site visits in July. Hilda will forward their specific questions. · The New York partnership study is under way and will be in the mail soon. The two groups they will be surveying include our voluntary and paid partners. Call Hilda with any further questions. · The CCPH membership circle will not be making category change. Hilda encouraged all SC’s to become individual members. · The Joint Policy Review Session is scheduled for Monday, July 17th in Flatwoods from 11:30 to 2:15. April needs ideas and feedback on the draft agenda and we should all come prepared with specific examples. · The legislative auditor’s comments were discussed. A full report will be out in the fall. · Hilda would like a subcommittee to work on the parameters of budget restructuring. Steve, Anna and Chuck volunteered and Robert was suggested. · Fred Winter from Booth & Associates has prepared a PR packet for us. 12:30 to 2:00 on July 18th was the suggested training time to meet with Mr. Winter. · Erin Condo, WVU MSW student will be working with Hilda from July to May 2001 on service learning and the durable medical equipment grant. Committee Reports Field Faculty- Rosie would like names of FF to replace Dr. Satow on the committee. Posters are needed for display at FF Day from local preceptors and FF. Schools Committee- Feedback from the draft CMS recommendations can be sent to April or Norm. The list of prohibited activities has not been completed. All preceptors need to be aware of and responsible for all student CMS activities. Computer Training July and August are good months to schedule computer trainings. Suggested topics include- Tracker, PowerPoint, Excel and Palmpilot. Email Mark and Parr by June 30th if interested. All Tracker recommendations need to be sent to April to be put on the existing list. The suggestion was made that the LRC committee become the advisory/oversight committee for the RHEP website. Retreat Evaluations The evaluations were discussed and passed onto the next committee- April, Georgianna, Steve, Joan, Penny and Carla. The suggested date is September 27-29 in the southern part of the state. Concerns/Helpful Hints/Appreciations · Name tag orders are due to Sandy ASAP · CoWV orientation needs to be scheduled. · The new Cabin Creek SC will begin in July; Eastern is still taking applications. · IDS evaluations are due June 30th, at this time, FF data can not be entered. Next Steps From This Meeting 1) Coordinators are to email Beth Santymire with SunWise program target classrooms by July 1. 2) Coordinators are to have all IDS evaluation data entered in TRACKER by June 30, 2000. 3) Georgianna Tillis will chair the next quarterly WVSOM information board and will send Elizabeth information by July 18, 2000. 4) Consortia should consider exhibiting at the service learning conference in Charleston August 6-9. Hilda will provide site coordinators with more contact information. Consortia that exhibit need to let Hilda know their plans. 5) Six-month goals for July-December 2000 are due to April on July 3. Reports on six-month goals from January to June 2000 are due to April by July 14. 6) Site coordinators are to email Mark Allen, Parr Thacker, and April Vestal by June 30 with ideas for SC and SS computer training for July or August. 7) Send Sandra Baker names of people who need RHEP nametags. 8) Kelly will follow up with Mike McCarthy on the TRACKER input of faculty evaluations of IDS sessions.
