Jodie
Jackson discussed the need to make a revision in the definition of the new
student category, “Approved Exception” to meet the need of the new special
curriculum for the 3rd year medical students in the eastern
panhandle and to better define when this definition is used otherwise. The move to make the following revision of
the definition was made by Helen Baker and seconded by Judy Koehler. Jodie will discuss with Hilda and April
whether or not the addition of this into Policy 98-02 will have to be approved
by the Advisory Panel in May. (See
addendum at end of these minutes.*)
“Approved Exception: any student-rotation for which a school has obtained a special variance from the Executive Director of WVRHEP for the following circumstances: a) utilization of a site in a RESTRICTED CITY for RHEP credit (either because of a lack of sites in rural areas due to accreditation restrictions or because the site serves an underserved population) or b) 3rd year medical students participating in the special longitudinal curriculum in the Eastern Panhandle.”*

Bors introduced Sarah Miller, the new campus coordinator at WVU-Chas.
Helen
Baker reported that she had telephone conversations with the Chair of the
Michigan State University IRB and he has agreed to come to West Virginia to
meet with the IRB chairs of WVU, MU and WVSOM.
Specifically, members of the RHEP Evaluation Committee would like to
generate discussions between him and the WV IRB chairs regarding 1) ways to
expedite IRB review for students’ community-based projects, 2) ways to expedite
IRB review for statewide research projects (such as CARDIAC) that presently
require separate IRB reviews by each and 3) increasing students’ response to
the SERFE by requiring all students to evaluate RHEP rotations BUT giving them
the option of whether or not their responses are included in research. The next step is for Helen, Jodie, Hilda and
April to have a conference call with Peter Vasilenko. Jodie will set this up.
Jodie
distributed information on the response rates to the SERFE for each 6 month
time period since 1/1/01 (when the new, electronic SERFE was initiated) and
discussed reasons that the response rate could have fallen so low (55%) this
past 6 months. Reasons identified so
far include: 1) no reminder emails
distributed between mid November and mid-January; 2) several MU med students
without email addresses in TRACKER.
Helen
Baker brought up the importance of letting students know when and how their
SERFE responses result in changes to the curriculum. Jodie said that the policy changes regarding interdisciplinary
education are an example that could be shared with the students.
Judy
Koehler requested a list of students at her consortium who have not completed
their SERFE. Jodie suggested that maybe
Sheryll could do this for all of the site coordinators in light of the fact
that the automatic emails were not happening for ~2 months. Helen Baker mentioned that 3rd
year WVSOM students would be back at WVSOM on April 29 so it would be good if a
list of students who had not completed their SERFE was sent to Stephanie
Shuler, Bob Foster, and Patti Crawford around that time.
*The definition of Approved Exception”
for a student was revised slightly by email to the Evaluation Committee on
4/12/04. The definition now reads:
APPROVED
EXCEPTION Any student who utilizes a site (for which a school
