July 17, 2000 Evaluation Committee Meeting Members Present: Annie Macintosh, Jodie Jackson, Kelly Blake, Penny Asbury, Anna Reno (new member), Jennifer Allen (alternate member) Members Absent: David Martin, Helen Baker, Karen Fahey, Jo Ann Raines, Randy Lowe, Ron Fleshman, Tom Whittier, Trisha Petitte Others Present: Patty Crawford, Dick Meckstroth, Carla Campbell, Chuck Conner, Brenda Michael, Joan Hypes, Mark Allen, Ann Cather DRAFT Minutes: · Jodie Jackson updated committee on the evaluation research project led by Dr. Ken Shannon and Helen Baker. She passed out 3 documents for piloting medical student evaluations. They were: medical student pre-test, student evaluation of rural field experience (SERFE) for medicine and SERFE for all other disciplines. · Chuck Conner suggested using only one SERFE form for all disciplines and adding additional questions specific to medical students. Jodie will continue to work on the forms with Dr. Shannon and Helen and let the committee know the progress via email. · Mike McCarthy is working on posting these SERFE forms on the internet so that they will all be completed electronically as soon as possible. Issue: These forms will replace current SERFE. Trisha needs to make sure the data matches up and that she’ll be able to use the information from the new forms together for the reports with the information that is currently being sent to her. Once paper evaluations stop, the questions are a little different and might reflect a change mid-year. · Kelly made the suggestion that Helen Baker and Dr. Shannon do a committee presentation with benchmark dates for project implementation. · Medical student pre-test and SERFE will be sent to campus faculty, site coordinators, and the student advisory panel before being implemented. · SERFE reports will be available 3 times (instead of 4) in 2001. January 1 April 30 information reported May 30, May 1 August 31 information reported October 15, September 1 December 31 information reported January 31. · Jodie passed out a chart regarding decline in rural rotations for 97/98 compared to 98/99. Questions about this information should be directed to Jodie. · Helen Baker was unavailable to discuss the Field Faculty Survey · In roundtable discussion, Carla Campbell informed the committee of a glitch in IDS data entry on Tracker. Mark Allen responded for Mike McCarthy that the problem was being taken care of. Kelly Blake is to ask Trisha Petitte when site coordinators can expect reports on 1999-2000 IDS data and is also to ask Mike McCarthy about editing requests in Tracker.
