Evaluation Committee Meeting Minutes July 16, 1999 Members Present: Kelly Blake, Jodie Jackson, Helen Baker, Annie McIntosh, Trisha Petitte, Cecil Pollard Others present: Jennifer Allen, Hilda Heady, Elizabeth Richmond, Amy Thomas, Lee Ann Vecellio Members absent: Ron Fleshman, Randy Lowe, David Martin, Jo Ann Raines, Penny Rose, Steve Thomas, Tom Whittier Corrections to May Minutes The following changes were made to the May meeting minutes: · the statement that the Site Coordinators would recommend a nominee for Chair of the Evaluation Committee was incorrect; Site Coordinators were asked to suggest names of field faculty to serve on the committee. · The evaluation form referred to was for the entire RHEP curriculum, not just the IDS. Changes were approved and noted. New Evaluation Committee Chair and Co-chair Elected Kelly Blake was elected new Chair of the Evaluation committee. Jodie Jackson will be the co-chair. The Site Coordinator representation to the Evaluation Committee for the upcoming year will be Steve Thomas and Kelly Blake. Penny Rose will be the alternate. Kelly Blake will find out who the field faculty representation on the Evaluation Committee will be for the upcoming year. Student evaluation of Rural Field Experience Tricia Petitte reported that her office is still working on compiling the 1998 open-ended responses of the Student Evaluation of Rural Field Experience. This will have to be completed before the first quarter of 1999 is done. The following will be part of the quarterly report on the Student Evaluation of Rural Field Experience: 1) mean score 2) frequency of response (for consortia with large enough n only) 3) comparison to other sites The committee asked Hilda to check with Mike McCarthy regarding the evaluation of the on-line Student Evaluation of Rural Field Experience by the Student Advisory Committee. IDS Evaluation Mark Allen is still working on the IDS Evaluation form that will be put directly on TRACKER. The Evaluation Committee was informed that the IDS evaluation form by faculty was voted to be eliminated. It is still used by some sites, however, because faculty use this form in determining the student’s grade. It has been proposed that the site coordinators evaluate students for the 20% of their time devoted to IDS and community outreach and give this evaluation to the field professor for no more than 20% of the students’ grade. The Rivers and Bridges consortium has developed an evaluation tool to do this. This tool will be revised and taken to the site coordinator meeting for discussion then to the School Committee and Evaluation Committee. Student Resistance to IDS and Community Outreach Annie McIntosh expressed concern that students are still resisting IDS and community outreach and would like to further explore strategies to impart the importance of these activities to students. The committee agreed that Trisha should pull out the comments on IDS from the 1998 data and pass this information on to the Evaluation Committee to review before the next meeting. Multiple Grading Issue Hilda noted that the School Committee plans to discuss the multiple grading issue (where grades from different faculty are often different for the same student) problem with the site coordinators and the medical school coordinators on August 24. Verification of Student Rotation This will be the first year for verification of student rotation from TRACKER. Thank You Cecil! Hilda took this opportunity to formally thank Cecil for all of the hard work he has done as Chair of the Evaluation Committee over the years and expressed interest in his continuing participation on the committee. THANK YOU, CECIL!!!!! Advisory Panel Committee Reporting Schedule There is a new Advisory Panel reporting schedule. The Evaluation Committee will be reporting in September and March. Evaluation Committee Meetings Evaluation committee will continue to meet on the same cycle as the Advisory Panel: March May July September 20 November Meetings will continue to be from 10:30 am 12:00 noon.
