EVALUATION COMMITTEE MINUTES October 13, 1997 Attending: Nancy Greenstreet, Bill Shires, Kelly Blake, Chuck Conner, and Cecil Pollard. Problem List: Amy was not able to attend the meeting because of a scheduling conflict. Three issues were raised for consideration to be added to the Problem List: the low rate to the StudentÕs Site Evaluation; the breach of confidentiality of studentÕs responses to surveys; and the concern over the proliferation of consortium specific forms. The committee would like Amy to consider these items for inclusion on the Problem List. Site Committee Meeting and Orientation: Trisha attended the September Site CoordinatorÕs meeting and distributed data from the Student Evaluation of the Rural Field Experience Survey. She expressed concern about the low response rate from some of the sites. Trisha also gave the seven new Site Coordinators an overview of the Evaluation component of WVRHEP. Materials sent recently to all Site Coordinators include: 1. WV Rural Health Education Partnerships Instruction for Submission of Evaluation Forms. 2. Definition of Type of Student (to be used for your monthly report). 3. Letter for Health Sciences Students (to be given to students along with the Survey of Rural Field Experience). 4. IDS Student and Faculty Surveys, Instructions for Data Entry. 5. West Virginia Rural Health Education Partnerships, Evaluation Form for Students participating in Interdisciplinary Teaching Sessions. 6. WVRHEP, Evaluation Form for IDS 7. Address labels to be used on pre-addressed stamped envelopes for Survey of Rural Field Experience. 8. Diskette for the IDS surveys (need to add Physician Assistant to diskette as one of the responses). Uses of Data from the Rural Field Experience Survey: OHSR has worked with Alicia Tyler to improve data from the Survey for the committee on recruitment and retention; data has been given to Bill Shires, Jacquelynn Copenhaver, Phil Schenck, Heather Krugman, and the Curriculum Coordinators. Revisions of the Student Evaluation of Rural Field Experience Survey: Brian Williams has modified (as possibly improved) the format for the instrument layout. The Evaluation committee would like to have the revised format circulated for comment and possible adoption. Policy regarding the Site Coordinators Monthly Reports: This item was tabled until next meeting. IDS Survey Data: OHSR has been asked to circulate data from the IDS evaluations. This has been distributed to the consortia and will be sent to the schools for their review. Maps for November School Committee Meeting: OHSR is producing maps that show the distribution of medical students rotations by consortia for 95/96 and 96/97. New Business: OHSR has produced data for the County Profiles published by WVU and also provided data to Dr. WestonÕs Office for the Higher Education Report Card and LOCEA Report. Next Meeting: The next meeting for the committee will be a conference call on November 10 at 10:00 am.
